A team knowledge assistant, grounded in approved policy
A fictional team wants an easier way to find an approved procedure without confident answers to questions the source never covered.

A fictional example for planning.
This case explains a possible process. It is not a completed client engagement, testimonial or independently measured result. The artwork is illustrative.
What the workflow needs.
Small current source set, section references, version/owner register, user-access boundaries and escalation owner.
A clear handoff at each stage.
Ask
A user poses a question within the agreed source scope.
Refer
Identify the supporting approved document or section.
Respond
Answer what the evidence supports and flag gaps.
Escalate
Unsupported or conflicting questions go to the responsible owner.
What a useful result could contain.
The sample handbook requires an itemised expense receipt and manager approval. A question about an unspecified travel allowance receives an insufficient-evidence response.
What we would check.
Answer support, unsupported-answer rate, source freshness and time to an approved answer.
Agree the baseline and stop/go criteria before the trial. Include difficult, incomplete and out-of-scope examples. A fluent draft does not by itself establish commercial usefulness.
Keep expectations clear.
The public sample uses fictional policy material. Private source uploads and client membership controls require a separately tested implementation.
Actual scope, handling arrangements, price and technical feasibility must be agreed separately. Private company information should not be entered into the public samples.
